Job Summary:
The Event Security Administrative Support Coordinator, assigned to one of Pinkerton's largest global clients, will provide event coordination for the Global Security team. This role manages event planning meetings and related tasks, communicates with agencies, security vendors, and stakeholders, and completes performance management data reporting and maintains all supporting documentation.
Essential Functions:
- Represent Pinkerton's core values of integrity, vigilance, and excellence.
- Oversee event coordination for the client's Global Security team, across multiple time zones, as needed;
- Partner with and respond to other GSS support partners' requests.
- Complete day to day input and updates of event-related Google documents.
- Provide event management support by organizing and maintaining files, records, and reports and update the events calendar accordingly.
- Organize internal and external meetings, including meeting room/venue bookings;
- Prepare and collate information to include agendas, presentations, reports, spreadsheets, and minutes following guidance from Regional Event Leads.
- Confirm action items and next steps at each meeting.
- Email security contacts for relevant event planning materials, such as floor plans and evacuation documents.
- Communicate with the event agencies regarding information requests and event-related queries.
- Schedule video conference appointments with event agencies, security vendors, and stakeholders.
- Provide event-related performance management data on request;
- Update reporting documents with relevant events' KPI information.
- All other duties, as assigned.
Education, Experience, and Certifications:
Two or more years of event planning and/or administrative support experience, preferably within a corporate security environment. Pinkerton is an inclusive employer who seeks candidates with diverse backgrounds, experiences, and perspectives.
Competencies:
- Knowledge of financial controls, purchase order management, expense tracking and invoicing preferred.
- Able to multi-task and organize workload for effective implementation.
- Attentive to detail and accuracy.
- Able to work independently as well as within a team.
- Self-motivated and initiative driven.
- Computer skills; Microsoft Office, Google applications, and Quip.
